Yesterday I chaired a roundtable debate organised by 360°IT – the IT infrastructure event. Around the table were IT managers from various mid-sized organisations, including financial services firms, public sector bodies and charities – a real cross section of the heartland of UK IT.

The aim of the meeting was to discuss the top infrastructure challenges faced by this important sector of the IT community and for delegates to share their experiences and hopefully learn from each others’ knowledge.

Perhaps the most notable outcome of the discussion was the agreement that, despite such varying environments and backgrounds around the table, the challenges they all face are remarkably similar. Everyone went away saying that, if nothing else, it was good to know they were not alone.

The debate was conducted under the Chatham House rule, so I can’t identify any of the contributors, but here’s a summary of their top five challenges and some of the comment they made – are these familiar issues to you? Let us know what you think by commenting at the end of this blog post.

The top five, in no particular order, were:

• How to connect IT with the strategic priorities of the organisation
• Communicating and marketing IT more effectively
• Compliance, governance, metrics and risk management
• Supplier relations
• Technology is not the problem

How to connect IT with the strategic priorities of the organisation

One of the biggest frustrations the IT managers feel is the difficulty of aligning IT with the key priorities of their organisation – which must be one of the oldest chestnuts in technology management.

Most of the delegates had experience of a lack of joined-up thinking, and the difficulty of getting a holistic, top-down approach from the boardroom to drive IT strategy, rather than the “piecemeal” approach identified by one contributor.

One delegate highlighted the problems caused by a major outsourcing deal. To paraphrase his comments: “We outsourced because the board wanted to save money and focus on our core business. But outsourcing has removed the IT manager’s ability to adequately support the business. The outsourcing deal is driven by SLAs [service-level agreements], but they don’t take into consideration all the little things that IT used to do to help out before the people were outsourced. In the end, most of the cost savings have had to be spent on funding new initiatives that were not covered by the outsourcing contract, so the net result is no savings.”

Another issue came from demands to minimise capital expenditure (capex) and fund IT through operating expenses (opex) instead. “We even had to put our staff party on opex,” said one delegate.

Another said: “A number of major corporate projects mean there is little capex budget left for anyone. But management are loath to spend out of revenue, so IT is just expected to adapt.”

And too often, budget for new initiatives goes to “whoever shouts the loudest” because of a lack of strategic direction for IT to be able to make a business case.”It is about getting the right balance between tactical and strategic, and between being reactive and responsive,” said one IT manager.

Communicating and marketing IT more effectively to the rest of the organisation

The other side of the lack of alignment between strategy and IT is the need for the IT department to communicate better with the rest of the organisation and the boardroom.

“IT people are not naturally good at marketing themselves,” said one delegate. Another added: “We have to articulate things in a language the business understands.”

Guest speaker Denise Plumpton, the non-executive director of the 360°IT event and a former CIO in both government and industry, highlighted an example from one of her former roles, where she was able to demonstrate that giving a Blackberry to sales staff allowed them to make one extra sales call per day. The sales director, who had previously been sceptical of the technology, translated that into the number of extra calls across the sales force, the likely contract conversion rates, and on the back of an envelope proved the business case for equipping his team with handheld devices – all because the case was made in a language he understood.

Another delegate warned of the danger of IT being seen as “the ‘no’ department” – always pointing out the reasons users cannot do something, rather than how to achieve it or the implications of doing so. “IT is seen as negative to users – they think we always say what can’t be done rather than what could be done,” he said.

IT departments need to treat users as individuals, and understand their needs and how to meet those requirements, said a delegate.

Compliance, governance, metrics and risk management

One way for IT to be noticed is for anything associated with regulatory compliance.

“If it’s to do with compliance, it will happen,” said a delegate. “Compliance can drive the rest of the business to consider IT more.”

A risk management approach was highlighted as an effective way to make sure the board understands the impact of an IT business case. For example, if a business risk that could cost the company, say, one per cent of its revenue could be eliminated by better IT, that makes a compelling argument to proceed.

Agreeing metrics for measuring the value and success of IT was identified as another effective tool – especially the concept of a management dashboard of key measures – something that would also help with other challenges mentioned above, such as the relationship between IT and the organisation.

Supplier relations

One challenge that particularly animated our roundtable guests was supplier relations – with everyone highlighting problems with the key vendors they buy from. Here’s a selection of comments:

“We want flexibility from our suppliers – but they all work to SLAs.”

“What we bought is not what we wanted, but it was what the board thought we wanted.”

“There is no partnership in the relationship with suppliers.”

“We want transparency from suppliers – they need to be honest about what they can and cannot deliver.”

There was complete agreement that suppliers are too focused on products and technologies, and not enough on the real challenges that IT managers face. “They are just not on the same wavelength,” said one.

Another added: “The supplier has already won the business with us, yet it is always trying to sell more. ”

The IT managers acknowledged that they as the customer must also take responsibility for what they want from suppliers, but many felt that suppliers were simply trying to sell “out of the box solutions”.

“What we want is value added after purchase, help to make it work in our environment,” said a delegate.

Technology is not the problem

In the course of nearly two hours discussion at a roundtable billed as covering IT infrastructure challenges, it was notable that technology and products were barely mentioned.

In a group of large-company CIOs, it would be expected that technology would rarely feature, but it was instructive to see that in an audience of mid-sized organisations, IT managers are also noticeably less concerned about technical issues than about business, strategy and people matters.

“Technology is not the issue, it’s about skills, training, processes,” said one delegate.

“I’m not interested in ’stuff’,” said another. “We’ve got the stuff, what we want is to use it better.”

A similar group assembled even five years ago would, in my experience, have spent the time discussing the relative merits of the latest technology, or the “next big thing”. But products and technologies are now seen merely as the enabler, a tool that allows IT managers to contribute to the success of their organisation. That will increasingly prove to be a big step towards addressing the first two challenges highlighted above, of better aligning IT and the business, and of IT staff talking the language of the business.

It also sends out an important message to IT suppliers that their customers’ expectations of them are changing rapidly.

I DO NOT LEAVE NEGATIVE FEEDBACK – Ever. However, I bought this (with an extended warranty) and had problems because it wouldn’t recharge. I contacted the extended warranty company (offered here through Amazon) and they were excited to tell me it wasn’t their responsibility since the original warranty was still in effect. I wrote the company and quickly got a “suggested fix”. I tried it and it didn’t work. Ever since (four months ago) I haven’t been able to get any feedback from the company at all.

So – don’t buy this product, don’t trust this company, be SUSPICIOUS of the extended warranty offered by Amazon.

I have been buying online for almost twenty years and this is my first real negative experience.

I was very disappointed with this product. It didn’t work with my Mac, which isn’t exactly the latest and greatest, but I was also disappointed with the video quality. I’m sure if you’re a PC user that it might be OK, but I think there are much better products for the $$ out there that are easier to handle and shoot decent video with.

1 Star CHECK BATTERY
Well, I did read many of those single-star reviews complaining of battery life, but thought I wouldn’t have issues.

I wasted my money.

After the charge that came with the product, I have been unable to recharge the battery at all. It continues to say CHECK BATTERY PACK, CHARGING PAUSED.

I have tried several web solutions: the one offered by the Makers of FlipCam on their website, as well as cutting around the battery pack’s contact point. No luck.

I then thought, well, at least I can salvage this with good old disposable batteries — nope. They ellicit the same message.

The Flip Company sends generic replies to my communications.

I was trying to save some money getting this camera, instead of a quality one, and instead I got a one-time use video camera. My mistake.

Don’t make the same one.

5 Stars Flip UltraHD – I Love It
Flip UltraHD Camcorder, 120 Minutes (Black) This is my second Flip Video. I got many super memorable clips with my original Flip. This new Flip is twice as good. I upgraded to the Ultra HD for the quality. I wanted 2 hours (instead of one hour) and I wanted wide screen high definition. The Ultra HD delivers. I never miss a shot because I always have it with me. As much as possible I shoot using a monopod to keep it steady or I prop myself against something. For planned events I have a regular camcorder w/ tripod, but they are not portable. I also use my Flip HD as a second camcorder during events and that works out fine. I know today people are using telephones as camcorders (I don’t own a phone) but from what I see the quality does not match that of the Flip and I doubt you get 2 hours. As for batteries, I always have extra AA batteries on me too. For samples of videos that people have done with their Flips, go to [...] or [...]. Flip now has a newer version, the Flip slide. I will probably upgrade yet again. As for old Flips, give them to a friend or family member.

This was an outstanding product to work with. No hassels whatsoever! We love it. This is our third hard drive purchase, we returned the first two because of hassels. This one is perfect. What more can I say?

3 Stars Iomega USB Drive–check compability
The Iomega Prestige 1TB external USB drive (P/N 31758600) has an auto-on/off feature that powers it down when the machine is not in use. On its own, the drive seems to work fine, as well as some other large capacity external drives I have. Some of my other drives (several brands) that are not Iomega, also do the same sort of ‘intelligent’ on/off power management. These other drives seem to work well together. The problem is that I can’t get the other brands of drives to work with this Iomega drive on the same machine at the same time. This is true on three different computers. With the Iomega, whichever drive I plug into a USB port first becomes the one that will work, rendering a second one a ‘dead’ unknown USB device. If I reverse the order I insert the plugs, the ‘dead’ drive becomes active and the other one is not usable. Hence I can’t copy directly from a couple other brands of drives to the Iomega, and vice versa. The doesn’t happen when I mix the other brands of drives. I wish there was a way to turn the ‘intelligent’ power management off, at least for those occasions when I want to copy to or from the Iomega.

5 Stars Excellent drive for the money….
This is the second drive I’ve bought of this model. It’s a great buy for the money, and 1.5 terabytes is a *lot* of storage. The drive space is huge, the case itself is small and sleek, and it’s very quiet. I’ve got an older 500GB Iomega drive that is so noisy I have to turn it off as soon as I run backups. I almost didn’t buy this drive because of that experience, but I’m glad I gave this a try. The other real positive: it has an on/off switch. It seems like a no-brainer that a drive would have an actual power switch, but it’s not always true. The noisiest external drive I ever had did not have a power switch, and I ditched it as quickly as I could.

It also came with a license for the Retrospect backup software, but I’m a satisfied user of Cobian Backup (free).

5 Stars small, cute, makes you realize how little you’ve achieved in life
Thought I’d written a ton of valuable stuff worth saving for future generations so got this 1 TB external drive. Copied all of my writings in ten seconds and asked if I’d done anything else in my life. I said, guess not. It said, could you please return me? And like get a 300 MB drive? I’ll even pay for it. And I said, you have no arms or legs so you are now a paper weight; live with it.

Very good battery last for at least 8 Hours. Large hard drive. Poor video cam resolution. Weak sound. Monitor resolution not so good when you read a text or look at a foto. The card reader does not work for Memory stick. Nice looking little laptop. Easy to carry around.

4 Stars Great Little Computer, But…
This computer has been just what the doctor ordered but the 1GB of memory makes it a relatively slow computer so I ordered the 2GB memory upgrade that Amazon recommended to order with the computer so I ordered it. Guess what? It was the wrong memory chip and didn’t fit into my computer, the slot was on the wrong side so I had to return the memory to Amazon and could not find the correct memory on Amazon so I ordered it from Best Buy and it worked. Now that I have the correct memory in the computer it works well and is great for travel. I have been satisfied with just about all of my Amazon orders but this one so beware of Amazon’s recommended add on products because they may not be compatible with the primary product you ordered.

4 Stars I’m a Mac …
… yet here I am writing a positive review about a Windows machine. Why do you buy a netbook? Because it’s small, lightweight and cheap. While I would have loved to buy a 13″ MacBook Pro, the netbook is 4x cheaper & almost 2 pounds lighter. The review is only 4 stars because this is a netbook and is limited by definition. But this is a nice netbook and I recommend it if you can live with its capabilities (or lack thereof). Understand, you don’t get what you don’t pay for.

Software: I find reviews complaining about netbooks only coming with Windows 7 Starter to be about as silly as Apple complaining Flash is proprietary so they won’t support it on the iPad (like they haven’t used proprietary in their past). This is a slow chip on a tiny machine – why bog it down? While there are a few things I can’t do with Starter that I’m finding very frustrating, on the whole the OS is adequate. It works better than previous versions of Windows I’ve used, and I was able to connect to my wireless network and add two peripherals with no problem. None.

Same thing for Microsoft Works – it easily opened programs created in Microsoft Office (on the Mac), and for me the document portability issue is more important than a fully featured Office suite would be.

Email: the Windows Live Mail is easy to set up and works quite intuitively. My one complaint is that the calendar is buried in the email program – this means no direct access and no sync with iCal. I will be looking for a shareware calendar program.

Web browsing: the first thing I did was to download Chrome – I.E. still doesn’t support all css. Some pages load slowly, but others (especially Flash based pages) load faster than they do on my more powerful Mac. The hardest thing for me was getting used to that short screen – most web pages were not designed for this weird resolution so lots of scrolling is involved. That’s also the reason why you should question what software you want to use on this computer – can you work with it on such a tiny screen? Though I am an artist, I’ve yet to try any graphics program fot that reason.

Hardware: did I mention slow … the one place it would make sense to add a feature & raise the price is memory. Swapping the chip for a 2 gig chip showed a noticeable speed improvement. I bought whatever Amazon said everyone else was buying, and putting in the chip was quite easy. If you buy a netbook – buy the memory too – it makes a difference.

The specs for all netbooks seem to be very similar – they vary by design and installed memory more than anything else. The construction is good, and the case design has a textured cover that makes it easier to hold on to and will hide fingerprints if thats a problem for you. The most outstanding thing about this computer is the quality of the image on the screen – very sharp & very good color. Toshiba also supplies detailed color/contrast controls for the display that I haven’t needed to use yet, but it’s good to know they are there.

The keyboard is comfortable, but I have small hands. My one problem with the keyboard is that the raised bar on the “F” & “J” keys isn’t raised enough and is too far on the bottom of the key so my hands often start typing from the wrong position. Once the correct keys are found, no problem at all.

This is the first trackpad I’ve ever liked using – I’ll still use a mouse but it won’t always be necessary. The “multi-gesture” support is great to have because of how much scrolling is needed for web browsing, though sometimes I have problems with it. This was the only thing I had to go to the manual to figure out how to do.

Battery – I’ve yet to drain the battery even after leaving it unplugged for two days. I haven’t traveled with it yet but I’m looking forward to not having to search the airport for a free socket.

5 Stars Cute little netbook that goes with just about any outfit
The NB305-N310 is cute, lightweight, and functional. Because it’s black, it goes with just about any outfit. Don’t make the mistake of going with one of the colored versions and thereby limiting yourself to only particular clothes. Can you imagine the sorry girl who buys the white one without thinking and then can use it only between Memorial Day and Labor Day?

The Toshiba engineers made the case shiny enough that you can look at it when you put your lipstick on.

It has traveled extensively with me, including overseas, and never bogged me down.

There remains a high degree of scepticism about social networking, but much of that attitude misses an important point.

The success of the big consumer sites illustrates a trend that could have significant benefits for business.

The concepts that social networking tools embody have relevance for every IT manager. What organisation would not want to improve communication and collaboration between employees – especially in a large, geographically dispersed operation? More importantly, what company would not want to improve their communication and engagement with customers, suppliers and business partners?

For all the talk of Generation Y and the idea that social networking is a young person’s game, the levels of collaboration involved apply to every employee.

But why have so few organisations applied the principles of social media through technology developed for the workplace?

Perhaps it is a little like trying to make a business case for email 20 years ago. The IT experts of 1990 knew that email would clearly benefit their organisation, but proving a return on investment for the technology to a chief executive was a different matter. These days the idea seems quaint.

So the more that forward thinking companies try out social media and see what benefits they achieve, the easier it becomes for others to use their example to make the case.

Insurance giant Aviva is one of those examples. The company is achieving big benefits in knowledge management and internal collaboration. CIO Toby Redshaw says the firm wants staff to feel they work for an employer that “gets it” when it comes to the modern workplace and the tools they have available.

It may take more than 140 characters to build a business case, but the evidence for evaluating social media in a business environment is growing.
